Salon policies

New clients

  • A client consultation card is required to be completed by new clients before any treatment at Halcyon can commence and is a health and safety requirement. Please allow 5 minutes prior to your treatment so that your treatment time is not affected.
  • Any underlying health or wellbeing issues that may affect your treatment (for example, pregnancy or medication) that are not brought to our attention may result in your treatment not taking place.

Treatments

  • Due to the nature of some of the treatments, variations can and will occur. Clients are expected to ensure that they are happy with the results before leaving the premises.
  • If there is any issue during a treatment, this needs to be highlighted as soon as possible to the most senior therapist available.
  • Patch tests may be required on some of our treatments and if clients wish for these not to take place then they will be asked to sign a disclaimer.
  • All courses and packages are to be paid for on commencement and cannot be backdated. 
  • Courses are non-refundable and non-transferable and are to be completed within 12 months. 

Payments and bookings

  • Prices are subject to change without prior notice.
  • Advanced bookings are required. Walk-in appointments may be available if therapists are free at the time.
  • Payments taken by cash, debit card or all major credit cards (excluding American Express) are accepted.
  • Payments made by card have a £10 minimum amount.
  • A 10% discount is offered for students on production of a valid student card with photograph.
  • A 25% discount is offered for over 60s clients on Mondays.

Gift vouchers

  • Gift vouchers are available for monetary amounts or treatments.
  • Gift vouchers are valid for a period of six months from the issue date and can be used as full or part payment for treatments or products. If the treatment exceeds the value of the voucher, further payment will be required.
  • Gift vouchers are not transferable and cannot be redeemed for cash either in part or full.
  • Lost or stolen gift vouchers cannot be refunded. No cash alternatives will be given.

Customer loyalty cards

  • Clients will receive one stamp on their loyalty card each time they spend £20 in one day on treatments.
  • For every four stamps, clients will receive a £5 gift voucher, which can be redeemed against treatments or products.
  • Loyalty cards must be used only by the person they are issued to and shown at the time of treatment payment to be eligible for a loyalty card stamp.
  • Treatments of £20 or over paid for using gift vouchers will be eligible for a loyalty card stamp.
  • Loyalty cards are the responsibility of their owners and Halcyon will only replace lost or stolen cards with a new blank card.

Cancellation policy

  • 24 hours’ notice must be given for cancellations (within reason) or a 100% charge may be incurred, which will be payable on the next visit or alternatively clients will forfeit a treatment if they are on a pre-paid course.
  • In the event of any cancellation made within 24 hours of your appointment time, we have the right to ask for a deposit for further bookings.
  • If a client misses three or more appointments without notice, that person may not be treated in the salon in the future or will be required to pay for the treatment in advance.
  • Halcyon reserves the right to cancel pre-booked appointments with up to 24 hours’ notice before the day of an appointment or shorter subject to exceptional circumstances, such as staff illness/absence or emergency etc.

Returns and refunds policy

  • Halcyon offers a no-refund policy for treatments. However, if there has been a problem with a treatment (requiring either visual or photographic evidence), we will be happy to:
    • Offer clients gift vouchers to the sum of the treatment, or
    • Repeat the treatment free of charge
  • Should any issues arise after a treatment has ended, for example, skin irritation or any pain of any kind clients will need to visit us within 36 hours before any further action is taken.
  • Halcyon cannot be held responsible for any damage done to the condition or polish on a client’s nails once they have left the salon.
  • Products will only be refunded under the following circumstances:
    • If unused and returned with the receipt in their original packaging with the seal unbroken within 14 days of purchase, at which time it is possible that a restocking fee will be charged.
    • If the product has been used and has caused a severe allergic reaction as determined by a physician.
  • No refunds are given for gift voucher orders.

Late policy

  • Clients are asked to arrive five minutes before their appointment is due.
  • If a client fails to arrive on time for their appointment, treatment time will be cut short to end at the pre-booked allotted time.
  • Any client arriving more than 15 minutes late for their appointment may need to be rescheduled to another date/time and they may be charged.

Data protection

  • All information on client record cards is held with the strictest confidence.
  • Record card information will never be passed on, however, we may use this information to contact clients with promotions from time to time.
